Humane Society Silicon Valley (HSSV), an independent, privately funded, 501(c)(3) non-profit organization, has been serving people and pets in Silicon Valley for over 90 years. Having facilitated more than half a million animal adoptions, HSSV is leading the charge for animal welfare through community education programs, creative marketing techniques and effective homeless animal prevention strategies. HSSV is the first organization ever to meet the model shelter standard-of-care guidelines put forth by the Association of Shelter Veterinarians.

The Administrative and Campaign Manager will provide senior level executive administrative support to our President as well as be instrumental in supporting fundraising plans and strategies that will broaden organizational reach and deepen HSSV impact. This is a unique opportunity for someone who wants to become an ambassador for HSSV’s vision and mission work, interface with all levels of senior management (including board members) and quickly grow their knowledge in animal welfare and philanthropy. Others with success in similar roles have experienced accelerated career growth into more senior roles.

Duties and Responsibilities

President Support

  • Provide executive level administrative support for the President and organize HSSV events, Leadership Team meetings and other forums on behalf of the President.
  • Partner with development team to support the President in donor cultivation and stewardship activities.
  • Create written and graphical materials to engage with HSSV Board Alumni Ambassadors, including email, newsletters and website content as well as presentations for the President.
  • Liaison with the Board of Directors (BOD) and Board Committees and manage board documents, meeting minutes, correspondence and management of board records for corporate governance.
  • Lead the onboarding and offboarding process for BOD members.
  • Manage the President’s travel itineraries and agendas including scheduling flights, arranging transportation and booking accommodations.
  • Work on other assignments as needed and special projects for the President; may include research, creative problem solving and working collaboratively with cross-functional teams.
  • Other job duties may be assigned as needed.

Campaign Support

  • Plan and support logistics for special campaign events (house parties, on-site gatherings, larger fundraising events) in conjunction with campaign leadership and event contractors.
  • Collaborate with internal partners and manage vendors to design, create and deploy materials such as invitations, campaign documents, event signage, recognition signage, etc.
  • Leverage campaign prospect system, donor data management systems and other donor research tools to assess giving potential, plan solicitations and inform stewardship activities.
  • Coordinate timely and accurate campaign communications, correspondence, reporting and record-keeping for donors, volunteers and internal fundraisers.
  • Assist in the preparation of donor-facing materials such as emails, formal proposals, stewardship letters and white papers.
  • Support members of the BOD and campaign committee with fundraising activities.


  • Experience with providing high-level executive administrative, special campaigns, philanthropy, or development/marketing support.
  • Demonstrated ability to work independently to make effective decisions under pressure and multi-task to meet deadlines while maintaining accuracy and attention to detail.
  • Experience with engaging and communicating with organizational partners and cultivating and maintaining key stakeholder relationships in a mission-driven organization.
  • Ability to communicate effectively (written and verbal) with a wide range of people (board members, donors, etc.) in a professional manner using tact, courtesy and good judgment.
  • Demonstrated ability to organize and prioritize workflow in an evolving work environment and coordinate work among multiple partners.
  • Strong collaboration, organizational and follow-up skills.
  • Effective critical thinking skills with ability to identify/analyze problems and recommend solutions.
  • Proficient with Microsoft Office, Outlook, Excel, PowerPoint, relationship databases and visual media technology including experience developing compelling fundraising materials.

Work Days and Hours
Work schedule is primarily Monday – Friday, however, may fluctuate to meet HSSV operational needs and HSSV events.
